Background Checks by ClearCo: Canadian Experience Overview

There are some key differences between US-based candidates and Canadian residents. In addition to the email received by ClearCompany, you will also receive an email from THD-Triton. In this article, we cover the candidate experience in both ClearCompany and THD-Triton, as well as the different statuses available in the reports for Canadian applicants.

Key Concept

  • What is an EIV?
    • An EIV or Electronic Identity Verification verifies an applicant’s identity. For example, the EIV will ask, "Where have you lived?"
  • Who is THD-Triton?
    • TradeHouse Data-Triton is the company that will complete the background check and will report back to ClearCompany.

Background Check Process

  1. Email from AllScreening: You will receive an email from AllScreening to start a background check.
  2. Candidate Completes: You will complete the first steps in AllScreening, which will then kick off the second step of the process.
  3. Email from Triton: Once you complete the AllScreening process, you will receive an email from Triton letting you know that a background check was ordered and there is some information you need to complete.
  4. Candidate Information: You will be prompted to fill out the information, including personal information, address, and criminal record. During this process, you will have to answer an EIV questionnaire to confirm their identity. If you cannot complete or fail to do so, you will be prompted to manually fill out the documents and send two IDs; you will send the documents and IDs to backgroundchecks@clearcompany.com.
  5. Complete: When you are successful in providing the proper information and authorizing the background check, Triton begins the Canadian background check.

The first email you will receive is from ClearCompany, where you will complete the process outlined below.

  1. Background Check is Initiated- Invite Email is Received
    When a background check is initiated, you will receive an invite to complete the background check via email and text message. The email subject line will display the Company Name.

  2. Click here to begin
    When they open the "Click here to begin" link, you will be directed to the start of the background check.

  3. Consent
    The first item you will need to agree to is the E-Sign Act Disclosure and Consent. This E-Sign Act allows you to complete the background check electronically.

    *If "I do not agree" is selected, you will have the option to email or fax the proper forms.

  4. Authorization For Background Check
    You will then have to agree to have the background check run.

  5. Applicant Information
    You will enter personal information. Any information that was collected in ClearCompany will transfer over and auto-populate.

    Provide address information.

  7. Application Summary
    A summary of the information provided on previous pages is presented. You have the option to edit any information, as well as put any notes you would like to add. Once you are done reviewing, you can click "Submit".

      While rarely used, if you want to disclose any other information, it can added here.  For example, you may want to include that there was a criminal issue in the past.

  8. On-screen Confirmation
    After submitting, you will receive a confirmation that this portion is complete. You will also get a confirmation number that can be used for support.

After completing the ClearCompany Background Check process, you will then receive an email from THD-Triton to complete the background check.

    You will then be prompted to answer an EIV questionnaire.

  9. Fail EIV
    If you fail or can’t complete the EIV, you will need to manually fill out the document and send it with two IDs to backgroundchecks@clearcompany.com.

  10. Successful
    If successful, you will get a confirmation number, and Triton will begin the Canadian background check.

Considerations for Identity Verification (Canada Background Checks)

In some cases, you may be unable to verify your identity electronically. When this happens, ClearCo provides an alternate manual verification process.

When completing a Canadian background check, you are asked to answer a series of identity verification questions. If the system is unable to confirm the identity electronically, you must complete a manual verification process instead.

This process includes:

  • Completing the provided verification form
  • Submitting two valid forms of identification
  • Signing Section D of the form (witness signature required)

Once the completed form and identification are received, ClearCo submits the information to the appropriate Canadian authority to continue processing the background check.
